Create and share a new calendar
Sometimes you will want to share calendar events with colleagues, but do not wish to share your personal calendar. In this case, the best option is to create a new calendar that you can share with your group. Below are the steps you will want to take to create a new calendar and share it out with colleagues or friends who also have Gmail/medportal accounts.
Creating the Calendar
To create the calendar, follow these steps:
- Go to your medportal calendar by clicking the "my calendars" icon
- In the left menu, under "My calendars", click "Create"
- Name your calendar and fill in any information you like in the "Description" and "Location" fields
- Complete the sharing section of the form (details below) or simply click "Create Calendar" to configure sharing at a later time
- Your calendar is now created and ready to take events and be shared with others.
Sharing the Calendar
To share your newly created calendar with others, or to share another calendar in the "My calendars" list, follow these steps:
- In your medportal calendar, under "My calendars", click "Settings"
- Beside the calendar you wish to share, click the "Share this calendar" link (or if the calendar is already shared, click "Shared: Edit Settings")
- You may choose to share the calendar with the world, with all of medportal (users will have to choose to manually add it) or with select individuals
- To share with the world: Click the "Share this calendar with others" box and then "Make this calendar public"
- To share with medportal: Click the "Share this calendar with others" box and then "Share this calendar with everyone in the domain Michael G. DeGroote School of Medicine"
- To share with individuals: Type or paste any number of email addresses into the field that says "Enter email address" under "Person" and click "Add Person"
NOTE: If you want all of these people on the list to have different permissions than the default, change the option under "Permission Settings" before clicking "Add Person". The permission level you choose will be applied to everyone in the list.
- By default, anyone you share with will have access to view all events. If you wish them to have different permissions, you will need to select it from the drop down box.
- Click "Save"
- If you chose to share with a group of individuals, the calendar will show up automatically in their medportal calendar. If you chose the world or medportal, you will need to share your calendar address.
Giving out your Calendar's Address
If you have shared your calendar with all of medportal, or made it public, you will want to give others your calendar's online iCal address, so they can access it for themselves. To get the iCal address so you can post it into a forum or similar method of distribution, follow these steps:
- In your medportal calendar, under "My calendars", click "Settings"
- From the list of calendars, click the name of the calendar you want to get the address for.
- On the calendar details page, near the bottom under "Calendar Address:", click the green "ICAL" button.
- A new window will pop up giving you the address of your calendar. Copy this address and paste it anywhere you like to share your calendar with others.
